Up To Date Codes
All applicable codes, regulations, and laws must be understood and followed. If not up to date, the facility could be fined or worse, shut down. Therefore, it is imperative that these systems be analyzed and addressed, and updated, if necessary.
Systems to be addressed:
Fire inspections
Health inspections
Employee wage and supervision
Drinking water and wastewater systems
Developing working relationships with regulators
Food handling which includes storage, preparation, service, cooking
Risk Management
Risk management involves the plans in place to identify, evaluate, reduce, and prevent loss of resources associated with camp operations. Aiming to prevent accidents and injuries, and property damage, the following is a sample list which will help assess if we have these necessary plans in place. If we find that camp risk management procedures are not solidly in place, we must make it a high priority to reduce the risk of costly problems ahead.
If there are not systems in place to deal with potential situations, if something does occur, it can turn an unfortunate situation into a very serious one.
Do our camps have:
Evacuation plans
Water safety plans
Blood-borne pathogen plans
Widespread norovirus illness plans
Contact information for emergency services
Emergency procedures for hazards or disasters
Ongoing facility evaluations for regulations compliance
Regulations Compliance
Each year we must adhere to the newest regulations set forth by governing agencies. Anticipating upcoming compliance helps us to manage our resources effectively, like budgeting and allocating staff help. Use this list of agencies for reference to help identify what needs to be accomplished to meet compliance needs.
Does your camp meet compliance regulations for the following agencies?
OSHA
Law Enforcement
Environmental Health
Fire Department Services
American Camp Association
Communications
Take time to evaluate all communications looking for areas that need improvement.
Internal communications. Are situations explained clearly and responded to in a timely manner? Is there accountability and a sense of integrity?
External communications. How effective are communications between customers and staff? Is registration happening smoothly, are guests encouraged to come back to camp, perhaps with other groups they belong to? How is our customer retention?
Areas that need attention are: (fill in this field)
Trust in Partnerships
We must trust in the partnerships we build between owners of the property, oversight committees, Boards of Directors, and on-site operations staff. This requires effective communication and the understanding of the shared goals for the camp.
Items a property owner may be interested in on a regular basis to be shared by the facility operations group may include:
Project priorities
Reservations calendar
Marketing plans and reports
Hospitality service expectations
Receiving a quarterly balance sheet
Receiving a quarterly profit/loss statement
Training
Training is such a vitally important facet to running a camp. Below is a list of suggestions for areas we need to keep our staff up to date on.
Check all the areas that need updated training:
Cleaning
Kitchen safety
Customer service
Emergency procedures
Safe food handling practices
Management Service Providers
If we work with a management services company or organization, it is important to understand who retains ownership of the camp assets: vehicles, equipment, buildings, and all money received, etc. A trustworthy management service will help with regular maintenance and upkeep but will not take ownership of the camp’s assets.
To assess if we are getting the most out of our management service provider, we look to these questions. Does the service provider:
have accountability for all transactions?
support the owner’s mission 110% all the time?
have knowledgeable communication with our customers?
have frequent and clear communication with camp owners?
understand and are experienced in running all aspects of the camp to meet all the challenges that come with operating and managing a facility?
offer full-service property management, administrative support, marketing, reservations, human resources; and relieve owners of the many stressors that come with owning and running a camp?
Other Areas of Operations to Explore
Do we feel sufficiently resourced when we need something that pertains to the following list?
Check the areas that may need more attention:
Marketing
Customer service
Human resources
Accounting/Finance
Property maintenance
Contracts with customers
Specific project management
Natural resource management
